Overview of Team

Led by the Executive Director of the Western Region, AJWS’s Western Region (a team of four in San Francisco and Los Angeles) is responsible for overseeing and implementing the vision of AJWS in the Western Region. The team is responsible for revenue generation through major gifts, raising community awareness, increasing brand recognition through special events and targeted communications, and building relations with organizations and key opinion leaders in the Jewish community to achieve lasting policy change.

Position Summary

The Development Associate is a vital member of a fast-paced, high-energy team alongside two Major Gift Officers and under the leadership of the Executive Director, Western Region. In addition to providing crucial executive and administrative support, the Development Associate plays a key role in office management, special event support and support of the development team efforts.

Responsibilities include but are not limited to:

Executive Support

  • Manage Executive Director’s calendar and scheduling, including all internal and external meetings.
  • Communicate directly with donors to schedule and confirm meetings.
  • Provide editing and drafting of Executive Director’s outgoing emails and assist with prioritization.
  • Coordinate Western Region travel logistics, private meetings and speaking engagements for AJWS senior staff, special visitors (including AJWS grantees) and for the Western Region Development team when traveling.
  • Research and prepare materials and briefings for AJWS senior staff and provide support when senior staff and other guests are visiting.
  • Support Executive Director to plan, curate content, edit and coordinate donor communications, including thank you follow up.
  • Liaise with Bay Area board members to set up meetings, facilitate board peer review, and provide board members with support as needed.

Office and Administrative Support

  • Under the direction of the Executive Director, provide support to the Western Region staff including but not limited to: research projects and other administrative tasks, scheduling meetings, managing requests from major donors and board members, deadline tracking, onboarding new hires, and coordinating targeted communications to key constituents.
  • Manage all general office operations, including ordering supplies, responding to general requests, phone calls and visitors, and overseeing the local inventory of AJWS publications, collateral materials and pantry items.
  • Manage the San Francisco office calendar, coordinate weekly staff meeting agendas and provide other conferencing and technical support for the office.
  • Liaise with National Office in New York to ensure smooth functioning of administrative and operational systems. Coordinate regularly with other development associates.
  • Create, implement, and monitor the Western Region budget with support from the Executive Director. Coordinate all finance administration including accounts payable requests, expense reports and vendor contracts.
  • Provide donor database support (Salesforce), including data entry and regular cleanup, report creation and analysis, and donor list management.
  • Conduct donor and prospect research and provide analysis and strategy.
  • Liaise with local building management and AJWS facilities team.
  • Coordinate with the Institutional Giving team to write grant report and proposals for all gifts under $50K and occasional bigger gifts and matches.
  • Maintain organization of Western Region electronic files.
  • Oversee hiring and management of a summer intern.

Special Event and Development Support

  • Generate and organize lists and reports for events and personal appeals to Western Region constituents
  • Assist the Western Region team to manage events, including: securing venues, creating timelines, tracking deadlines, liaising with the AJWS communications team, recruiting, strategizing and planning programmatic content, and processing vendor contracts.
  • Provide on-site staffing at events in a variety of essential tasks such as: setting up materials, greeting guests and speakers, registering new guests, collecting ticket payments and donations, and helping to ensure a smooth program for the event.

Required Qualifications:

  • Thorough knowledge and proficiency in Microsoft Office applications required.
  • Superior written communications skills, time management and organizational skills required.
  • Comfort learning and using a variety of online technologies and applications required.
  • Ability to self-start, working independently as well as part of a team, on multiple complex projects and priorities required.
  • Professional, enthusiastic, flexible attitude and demeanor required.
  • Previous experience with Salesforce or a similar CRM or fundraising database required.
  • Ability to work occasional nights and weekends for special events required.
  • Ability to travel to New York headquarters 1 -3 times per year for staff trainings and retreats required.

Preferred Qualifications:

  • Bachelor’s degree (or equivalent) and a minimum of two years of administrative or office management experience preferred.
  • Ability to articulate and represent the organization in an outward facing role with donors, board members, community members, etc. preferred
  • Strong interest in and commitment to global human rights preferred.
  • Previous NGO/nonprofit-sector experience preferred.
  • Familiarity with Bay Area Jewish Community preferred

Additional Information:

  • Salary: $60,000 – AJWS is committed to salary transparency and paying employees a respectful wage. As a result, AJWS has a salary minimum of $60,000 for full-time employees, even if the market wage for the position is in a lower range. $60,000 will be the non-negotiable starting salary for this position. AJWS offers a suite of people-forward compensation and benefits, which will be available to candidates to learn more about during the interview process.
  • This role is full time (40 HRS), non-exempt
