Office Manager/Administrative Coordinator--Washington, DC

Job Description

American Jewish World Service seeks an energetic, highly organized and reliable office manager/administrative assistant to help run its Washington Office.  The Office Manager will generally be responsible for the smooth functioning of the AJWS office, administrative duties, assisting with meetings, public events, basic internal office accounts, and provide significant staff support.  The ideal candidate will be a capable, detail-oriented multi-tasker.

Responsibilities

Greet the Public:

  • Answer phones; vet and direct incoming calls;
  • Greet and assist with visitors and appointments for staff;
  • Prepare for and help ensure smooth functioning of in-house meetings.

Organize and manage the office:

  • All aspects of managing office mail (receiving, distributing, preparing mailings, etc.)
  • Manage FedEx, UPS, and other related accounts and billing.
  • Tracks bills, works with local vendors, places and receives orders for supplies;
  • Manages communications with NY office on day-to-day technology, billing and other regular communication;
  • Manages the supply and organization of AJWS materials including placing orders with NY office and, as appropriate, external vendors;
  • Makes copies, completes packets for hill visits, manages large-scale copy requests for Kinkos;
  • Manages contact database for DC office and interface with organizational database;
  • Manages day to day interface of office and landlord/property management;
  • Ensures smooth functioning of and troubleshooting for technology needs; follows up on same with NY office;
  • Help plan and execute AJWS events in DC; Helps set up meetings and other related needs, including pricing of food, venues, per diem for visitors.

Assist Staff:

  • Assists with tracking administrative policies and securing necessary HR, benefits and other forms for DC office,
  • Assists Director with management of calendar;
  • Tracks time sheets, vacation requests and other HR related needs, as well as tracking requests to finance and administration for checks, reimbursements, etc.
  • Assist with preparing presentations;
  • Makes and tracks travel arrangements, costs and related pieces;
  • Sets up conference calls;
  • Tracks response emails to Action account;
  • Ensures that the NY office has the most recent versions of all materials prepared by DC;
  • Sets up systems of tracking Advocacy communications internally and across key departments

Qualifications

  • Minimum three years experience in office management and/or assistant/administrative role or related area; 
  • Excellent speaking and interpersonal skills;
  • Demonstrated high-level organizational and administrative skills;
  • Ability to accurately and effectively track basic expenses, accounts and spending for the office;
  • High level of attention to detail;
  • Proactive thinking;
  • Minimum 3 excellent references.
