Executive Assistant to the President

Job Description

American Jewish World Service (AJWS) has an exciting opportunity for an energetic, organized and responsible individual to support the President of the organization in the administration of all daily activities of the Office of the President.  The ideal candidate for this position will have a keen attention to detail, the ability to prioritize workload and multi-task.  The individual must also demonstrate excellent interpersonal and communication skills, both verbal and written, and is expected to maintain confidentiality and exhibit discretion and professionalism in all activities.

Responsibilities

  • Receive and screen all incoming calls and/or visitors to the President's office and ensure appropriate follow-up to requests;
  • Manage President's busy calendar, scheduling appointments and making travel arrangements, including domestic and international travel (land/air travel and accommodations);
  • Confirm all appointments and arrangements and keep the President updated on all schedule changes made on her behalf;
  • Transcribe and draft correspondence with donors and colleagues.  Maintain follow-up file of all President's correspondences;
  • Review all mail and documents requiring President's signature;
  • Coordinate scheduling of Executive Team and Senior Staff meetings; take meeting minutes and distribute documents to appropriate parties in a timely manner;
  • In the President's absence, handle all communications with the President's direct reports and all major contributors.  Answer all questions independently when able and assure the president receives a record of all actions; 
  • Arrange messenger services and package pick-up as required;
  • Assist the finance department in maintaining the President's financial records;
  • Occasionally assist the President in a variety of personal tasks related to correspondence, scheduling, and travel.

Qualifications

  • 2+ years relevant work experience
  • Detail-oriented and well-organized, able to manage multiple complex tasks
  • Excellent interpersonal communication skills, especially across all levels of the organization;
  • Motivated self-starter capable of working independently as well as within a team environment
  • Exceptional writing, editing, and proofreading skills required
  • Flexible work style with the ability to work under tight deadlines and shifting priorities
  • Track record of demonstrating sound judgment by taking initiative and making appropriate decisions
  • Thrives in a fast paced environment
  • Thorough knowledge of Microsoft Office suite including MS Excel and MS Access
  • Commitment to issues of global social justice and familiarity with the Jewish community a plus
  • Bachelor's degree or equivalent required
